RETCON TERMS & CONDITIONS

This document sets out the terms and conditions between RetCon Management Inc. (“RETCON”) and you when you register for any event or conference organized by RETCON. By registering for an event or conference organized by RETCON you are agreeing to comply with these terms and conditions. You should read this document carefully.

ACCEPTANCE OF POLICIES AND REGISTRATION CONDITIONS

The following RETCON Registration Terms & Conditions (the “Terms & Conditions”) apply to all RETCON events. Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Should you not wish to accept the Terms & Conditions you should not register.

Submission of a registration is regarded as affirmation of your acceptance of the Event Terms & Conditions.

Please be aware that additional Terms & Conditions may apply to participants in hosted buyer programs, 1-1 meetings, or similar offerings. These will be provided separately if applicable.

HOW WE WILL USE YOUR INFORMATION

RETCON is committed to data privacy and protecting your personal information. Information on how RETCON collects, processes, and uses your data is included in the RETCON Privacy Policy, which is hereby incorporated into these Terms & Conditions.

Additionally, by submitting your email address during the event registration process, you agree that RETCON and its event partners may send you event-related information. A valid email address is required for all registrations.

RETCON uses the personal data you provide in this registration for administering your participation in this event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.

RETCON may disclose your personal data to third-party service providers engaged by RETCON to assist in the conduct of the event. Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to RETCON may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. Except as described herein, RETCON will not disclose your personal data to any other third party without your consent except where required to do so by law.

CANCELLATION POLICY

You may apply for a full refund and ticket transfers in writing up to 60 days prior to the event start date. Within 60 days prior to the event start date, refunds will not be granted unless you are unable to obtain a visa, but you may still transfer your pass to a colleague with our approval. TRANSFER OR SUBSTITUTION OF TICKETS

You are not permitted to resell or transfer your Event ticket to another individual, or allow another individual to attend in place of the named delegate, without our prior written permission. If you are no longer able to attend an Event after purchase of an Event ticket, subject to our prior written approval, we may be able to transfer the booking to another delegate provided by you, subject to an administration fee.

NONDISCRIMINATION POLICY

RETCON prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, political affiliation, marital status, veteran status, or any other characteristic protected by law.

EVENT CONDUCT AND SAFETY

RETCON is committed to providing a safe, productive, and welcoming environment to all participants, including staff and vendors, at RETCON events. RETCON has no tolerance for discrimination, harassment, or bullying in any form at RETCON events. Participants are expected to adhere to these principles and respect the rights of others.

What To Do If You Witness or are Subjected to Unacceptable Behavior: Participants should report any behavior inconsistent with these principles to onsite event staff. Event staff will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event.

LIABILITY WAIVER & RELEASE

In consideration of being allowed to register for, and participate in the event, you hereby warrant and represent that you are age 21 or above and freely waive, release from liability, assume all risks, and covenant not to sue RETCON or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness (including but not limited to COVID-19), disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, or injury is caused by the sole, gross negligence of RETCON. This Liability Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.

If you are under 21, you will not be allowed to attend the conference. You may ask our team for a full refund with proof of a valid government-issued ID.

SERVICE AS A SPEAKER

All terms outlined in this agreement will apply equally to speakers as well. Additionally, if you agree to speak at a RETCON event, we may share your biographical information with event attendees. Sometimes we may also request a photograph. In other cases, we may post on the event website information such as your name, employer, as well as a link to your company website and/or professional LinkedIn page available to the public.

BADGE SCANNING & TRACKING DURING THE EVENT

RETCON event sponsors, exhibitors, and other third parties may directly request your personal information at their exhibit booths or presentations. Providing your information to them is optional, and you should review their privacy policies to address your particular needs.

Please understand and agree that when you present your badge for scanning or when you provide personal data, that information will go to a non-RETCON entity and RETCON takes no responsibility for how that company uses your personal information.

You understand and acknowledge that RETCON may use session tracking technology to record which sessions you attended or which locations you visited inside the conference venue. Any data collected may be shared with approved sponsors, exhibitors, and partners.

USAGE OF PHOTOGRAPHIC AND VIDEO MATERIAL TAKEN AT RETCON EVENTS

To comply with global data privacy laws, RETCON imposes certain restrictions on the use of multimedia at its events (e.g., photography, video, audio, online streaming, and future mediums).

• Attendees may use handheld cameras or smartphones for personal, non-commercial use, provided it is not disruptive.
• Photographs may not be sold, reproduced, transmitted, distributed, or commercially exploited without permission.
• Filming or recording of any conference sessions (including presentations, panels, workshops, and keynotes) is strictly prohibited without prior written approval.

RETCON may hire professional providers to document and display the event experience. RETCON may also use social media to share real-time content from the event. Attendees and sponsors are encouraged to share their own experiences (text, photos, video, etc.) provided it does not include session recordings or infringe upon the rights of others.

By attending the event, you acknowledge and agree as follows:
(a) RETCON may edit and use footage it captures for marketing and promotional activities; and
(b) RETCON is not liable for incidental capture of your image by other attendees, provided such capture does not violate the restrictions outlined above.

EVENT APP

RETCON may provide an official event app. By using the app, you agree to both these Terms & Conditions and the privacy policy of the app provider.

The app may collect personal data including:
• Name
• Email address
• Phone number
• Profile picture
• Company, job title, and bio
• Other information you provide regarding your interests or services

The app may also collect device and usage information, including IP address, browser type, operating system, app usage, and cookies.

INDEMNIFICATION

You accept financial responsibility for any harm you cause due to negligence or misconduct. You agree to indemnify and hold harmless RETCON, its principals, agents, employees, and volunteers from liability for injury, death, or property damage arising from your actions.

If RETCON incurs legal fees or costs in enforcing these Terms, you agree to reimburse RETCON.

GENERAL

• RETCON reserves the right to amend these Terms & Conditions at its sole discretion without prior notice.
  • If any provision is deemed invalid, the remaining provisions remain enforceable.
  • These Terms apply to all event participants (attendees, speakers, sponsors, exhibitors).
  • The views expressed by any attendee, speaker, exhibitor, or sponsor are their own and do not necessarily reflect those of RETCON.
